Product launches, openings and award ceremonies
A launch or a ceremony is built around one moment: a curtain drops, a product appears on screen, a graduate receives a diploma, a winner's name is read out. The moment lasts a few seconds, but the stage, lighting, sound, video and guest positions behind it must be prepared to the minute. Vantage Events organises launches, openings, graduation and award ceremonies in Baku and the regions. For Azerbaijan Technological University we produced the Graduation Day ceremony in Ganja: script, stage and technical build, guest flow and on-site coordination were ours. For Hepsiburada Global we designed indoor and outdoor events and campaigns over 12 months as part of its entry into the Azerbaijani market.
A ceremony script is written to the second
At a corporate dinner the programme can slip by a few minutes. At a ceremony every speech, every award and every video is the cue for the next block. So we write the script in columns: who is on stage, what the host says, what plays on the LED screen, and what the lighting and sound operators do at each moment. The rehearsal runs from this document, and on the day the operators work from the same one.
For award or diploma presentations, how guests get on and off the stage is planned separately: the position of the steps, the waiting area, the order in which names are read and the photo point. At ATU's Graduation Day the flow for graduates, faculty and guests was built this way, and the ceremony ran with a clear structure.
Product launches and brand openings
The key question at a product launch is what the guest will remember. So the launch has one central moment: a video on screen, a demonstration on stage or a reveal. Stage design, LED screen size and the lighting script are built around that moment, and the speeches and guest interaction are planned around it too.
An opening is not always indoors. For Hepsiburada Global's «#YaxşıkiBurdasan» campaign we installed a 2×2×2 m gift box that stood outdoors in central Baku for 15 days. At the end of the campaign the box was opened and short videos played on a screen inside. Coordination, from permits to installation logistics and daily monitoring, sat with our team.
The technical base is in our own warehouse
The impact of a launch depends on the quality of the screen and the light. Our inventory holds 1,000 m² of LED, 920 lighting fixtures, 186 PA units and 249 microphones. We build the stage from modular platforms to fit the room and fly lighting and LED from TÜV-certified truss. Our own team prepares the drawings and load calculations and agrees them with the venue.
Because the equipment does not come through a rental chain, we set rehearsal and build times ourselves. That matters for a ceremony: the full rehearsal should happen once stage, screen and lighting are ready, not on the morning of the event.
Guest flow, protocol and what comes after
Some guests at a ceremony need particular attention: leadership, official guests, speakers and award recipients. Their arrival, seat and moment on stage are kept on a separate list. The route from the registration desk to the room and from the room to the stage is shown on the drawing, and on the day a member of our team stands at each point.
After the event we hand over photos and video along with a report that sets planned and actual costs side by side. For a launch these materials often matter as much as the event itself: they go on to social media, to the press and into internal reports.

How we work
Five steps. Each one ends in a document, so the client can see what is ready at every stage. The word methodology usually stays on a slide. Here each step has an owner, a deadline and an approver written down in advance. As events grow, the steps stay the same and only the documents get thicker.
- 01
Brief and objective
We write down who should do what after the event. The measure of success comes from here, not later.
- 02
Concept and programme
Format, narrative, guest journey and a minute-by-minute programme.
- 03
Drawings and clearance
Stage plan, rigging plan, load calculation. The venue's technical department signs it.
- 04
Build and delivery
The crew works to the drawing. On the day the operating crew stays in the room.
- 05
Derig and report
The venue is handed back. The report sets what was planned beside what happened, cost included.
Technical base
The technical base of the event is ours and does not depend on a rental chain. Our own team produces the drawings. Since 2023 we have delivered 17 projects, and our clients include 15 government and international institutions.

Frequently asked questions
How far ahead should we book a launch or opening?
If the venue and date are set, we can build the technical side at short notice, because the equipment is in our own warehouse. Outdoor builds and formats that need permits take longer. Within one working day of your brief we send a technical plan and a first budget.
How do you plan an award ceremony?
We start from the list of winners and their order. For each award the walk to the stage, the photo moment and the on-screen graphics are written into the script. The host, lighting and sound operators work from the same document, and the rehearsal takes place in the room before the event.
Do you run graduation ceremonies?
Yes. For Azerbaijan Technological University we organised the Graduation Day ceremony in Ganja: script, stage and technical build, guest flow and on-site coordination. University ceremonies have large audiences, so seating and the sound system are calculated separately.
Can a launch or brand installation take place outdoors?
Yes. For Hepsiburada Global we built an installation that stood outdoors in central Baku for 15 days, with a weather-resistant structure, daily monitoring and photo and video documentation. Our inventory also includes outdoor LED cabinets.
Do you run ceremonies in the regions?
Yes, we have worked in ten cities in total. ATU's Graduation Day took place in Ganja. Crew and equipment travel from Baku, and we plan local logistics.
Can we order only staging, LED screens, lighting and sound?
Yes. If your own team or agency runs the launch, you can order staging, LED screens, lighting, sound and operators separately. We assign one technical lead who works directly with your coordinator.
Let's discuss your event
A brief can be one paragraph: what the event is, the date, the number of guests and which part you need from us. We reply within one working day with a technical plan and a budget.
