Conference management, from scientific meetings to international forums
Conference management starts with the programme rather than the room. Who speaks in which session, how long a panel runs and how a foreign participant gets from the airport to the hall all need to be written down in advance. Vantage Events produces conferences and forums in Baku for government bodies and international organisations. Examples include an international scientific conference on maternal and child health for the Medical Service Department of the State Customs Committee, the Green Dialogue Platform forum during COP29, and the business forum of the Turkey–Azerbaijan technology programme. One team handles speaker and agenda coordination, flights and transport, the stage, LED screens, lighting, sound and microphones.
What we calculate before the conference opens
At a conference the technology should go unnoticed. When a speaker opens the microphone, the back row should hear them at the same level as the front, and slides on the LED screen should be legible from every seat. We choose the sound system for the size of the room and show the screen size and position on the drawing together with the seating plan.
At a ministerial meeting every delegation has its own microphone. The 249 microphones in our inventory, Shure Axient Digital wireless systems among them, cover that format in one room with spare channels. When sessions run in parallel, each room gets its own operator and technical schedule, and changeovers during breaks follow the minute-by-minute programme.
Logistics for foreign participants live in the same document as the programme. Each guest's flight time, transfer and hotel are tied to the session schedule, so a speaker's delay shows up in the programme in time and the moderator is warned in advance.

How we work
Five steps. Each one ends in a document, so the client can see what is ready at every stage. The word methodology usually stays on a slide. Here each step has an owner, a deadline and an approver written down in advance. As events grow, the steps stay the same and only the documents get thicker.
- 01
Brief and objective
We write down who should do what after the event. The measure of success comes from here, not later.
- 02
Concept and programme
Format, narrative, guest journey and a minute-by-minute programme.
- 03
Drawings and clearance
Stage plan, rigging plan, load calculation. The venue's technical department signs it.
- 04
Build and delivery
The crew works to the drawing. On the day the operating crew stays in the room.
- 05
Derig and report
The venue is handed back. The report sets what was planned beside what happened, cost included.
Technical base
The technical base of the event is ours and does not depend on a rental chain. Our own team produces the drawings. Since 2023 we have delivered 17 projects, and our clients include 15 government and international institutions.

Frequently asked questions
Where does international conference planning start?
With the programme and the participant list: who is coming from which country and which session they speak in. The flight, transfer and accommodation plan follows from that list. For the scientific conference on maternal and child health we also arranged international and domestic flights, local transport and catering.
Do you choose the venue?
We help with venue selection or work in the venue the client has chosen. Either way, our own drawing team prepares the stage plan, rigging plan and load calculation for the venue's technical department.
What about parallel sessions?
Each room gets its own technical build and operator. Our inventory allows it: 1,000 m² of LED and 186 PA units cover several rooms at the same time.
Do you run conferences in the regions?
Yes. We have delivered training, networking and B2B programmes in Ganja, Gusar and Lankaran, and have worked in ten cities in total. Equipment and crew travel from Baku.
What drives the cost of a conference?
The number of participants and days, logistics for foreign guests and the scale of the technical build. Within one working day of receiving your brief we send an itemised budget.
What do we receive after the conference?
A final report, the participant list and registration figures, photos and video. The report shows planned and actual costs side by side, so it can go straight into an internal report or to a donor.
Let's discuss your event
A brief can be one paragraph: what the event is, the date, the number of guests and which part you need from us. We reply within one working day with a technical plan and a budget.
