Corporate event management in Baku and the regions
Corporate event management with us means one contract, one schedule and one accountable contact. Since 2023 Vantage Events has delivered year-end parties, graduation ceremonies, launches and B2B meeting programmes for companies and institutions in Baku. We choose the venue, draw the stage and bring LED screens, lighting and sound from our own inventory. Guest flow and the running order are managed in the room by our crew. Your marketing or HR lead does not have to stitch five contractors' schedules together. Our largest corporate programme, at Four Seasons Baku, had more than 1,000 participants, and the MPAY year-end evening hosted around 400 guests.
Why one team should carry the whole event
A typical corporate event involves five or six contractors: venue, catering, technical, set, photo and video. Each may do good work. The person who holds their schedules together, though, is usually someone on the client's own staff, and in the week before the event it becomes their main job. When something goes wrong, finding who is responsible takes time.
We carry the whole chain: venue, technical production, catering, registration, transport, protocol, photography and video. Staging, LED, lighting and sound come from our own warehouse rather than a rental chain, so the build schedule does not depend on somebody else's calendar. After the event you receive a report that sets what was planned beside what happened, costs included.

How we work
Five steps. Each one ends in a document, so the client can see what is ready at every stage. The word methodology usually stays on a slide. Here each step has an owner, a deadline and an approver written down in advance. As events grow, the steps stay the same and only the documents get thicker.

Brief and objective
We write down who should do what after the event. The measure of success comes from here, not later.

Concept and programme
Format, narrative, guest journey and a minute-by-minute programme.

Drawings and clearance
Stage plan, rigging plan, load calculation. The venue's technical department signs it.

Build and delivery
The crew works to the drawing. On the day the operating crew stays in the room.

Derig and report
The venue is handed back. The report sets what was planned beside what happened, cost included.
Technical base
The technical base of the event is ours and does not depend on a rental chain. Our own team produces the drawings. Since 2023 we have delivered 17 projects, and our clients include 15 government and international institutions.

Frequently asked questions
How far ahead should we book corporate event management?
The earlier you start, the more venues remain available. We also work to short deadlines, because the equipment sits in our own warehouse and we do not wait in a rental queue. Within one working day of your brief we tell you whether the date is realistic and send a first budget.
How is the budget built?
We price the brief line by line: venue, technical production, catering, logistics and crew each appear separately. Because the equipment is ours, there is no middleman margin on the technical side. After the event, planned and actual costs are shown side by side.
How large an event can you run?
From a small board meeting to programmes with more than 1,000 participants. The B2B meetings programme at Four Seasons Baku had 1,000+ attendees. As numbers grow, guest flow, registration and the technical build change, and we calculate those at the drawing stage.
Do you organise corporate events outside Baku?
Yes. Besides Baku we have delivered events in Ganja, Gusar, Lankaran and other cities, ten in total. Crew and equipment leave from Baku, and we plan local logistics and accommodation.
Can we order only the technical side?
Yes. If your own team runs the event, you can order staging, LED screens, lighting, sound and drawings separately. We assign one technical lead who works directly with your coordinator.
Who do we need on site on the day?
One contact person is enough. We agree programme changes, VIP arrivals and the order of speeches with them. Everything else, including suppliers, the technical crew and guest flow, is managed in the room by our event manager.
