New Year corporate party planning

The New Year corporate party falls in the busiest weeks of the year. In the second half of December the good rooms in Baku, staging and lighting equipment and technical crews are all shared between several clients at once. Vantage Events builds a New Year corporate event with one team, from concept to handing the room back: venue selection, programme, stage, LED screens, lighting and sound, guest flow and the running of the evening. On 24 December 2025 we delivered MPAY's year-end evening for around 400 guests. For UNEC we organised a New Year event that brought students, faculty and guests together in one hall. The equipment sits in our own warehouse, so our December calendar does not depend on a rental queue.

When to start in December

Most New Year corporate parties fall in the last two weeks of December, and weekend evenings are the first dates to go. Choosing the venue is the longest part of the decision: capacity, stage position, rigging points, and how guests arrive and leave. A brief that arrives in November leaves time to compare several venues. A brief in mid-December narrows the choice, but the event is still possible.

Because the equipment is ours, a short deadline is not a problem on the technical side: staging, LED, lighting and sound do not wait on another company's calendar. Within one working day of your brief we tell you whether the date is realistic and send venue options and a first budget.

The running order, from welcome to the last song

A New Year corporate party has several blocks: welcome and registration, a speech from leadership, the year in review or awards, dinner, entertainment and dancing. We write each block into a minute-by-minute programme. What happens on stage, which video plays on the LED screen and when the lighting changes all sit in the same document, so the operator, the host and the event manager work from one script.

Entertainment may include a host, musicians or a show. We put their technical needs into the drawing in advance: the number of microphones, the mixing desk, the stage size and the lighting cues. When the performers arrive everything is ready, and the soundcheck does not collide with guest arrival.

At the MPAY evening the design followed the company's corporate identity: colours, screen graphics and stage design held one line. That is what separates a New Year event from an ordinary restaurant night: the room tells the story of the company's own year.

Restaurant, hotel or your own office

There are three main options for a New Year corporate party: a restaurant with a banquet hall, a hotel with a conference or ballroom, or the company's own building, such as a foyer or atrium. A restaurant has its menu and service ready, but staging and technical options are often limited. Hotel ballrooms take large groups and flown lighting. Your own space shows the company's identity best, but stage, power and catering are built from scratch.

Whichever you choose, our own drawing team prepares the stage plan, rigging plan and load calculation and agrees them with the venue's technical department. Our truss is TÜV-certified, so lighting and LED screens can be flown safely from the ceiling.

How we work

Five steps. Each one ends in a document, so the client can see what is ready at every stage. The word methodology usually stays on a slide. Here each step has an owner, a deadline and an approver written down in advance. As events grow, the steps stay the same and only the documents get thicker.

  1. 01

    Brief and objective

We write down who should do what after the event. The measure of success comes from here, not later.

  2. 02

    Concept and programme

Format, narrative, guest journey and a minute-by-minute programme.

  3. 03

    Drawings and clearance

Stage plan, rigging plan, load calculation. The venue's technical department signs it.

  4. 04

    Build and delivery

The crew works to the drawing. On the day the operating crew stays in the room.

  5. 05

    Derig and report

The venue is handed back. The report sets what was planned beside what happened, cost included.

Technical base

The technical base of the event is ours and does not depend on a rental chain. Our own team produces the drawings. Since 2023 we have delivered 17 projects, and our clients include 15 government and international institutions.

Frequently asked questions

When should we book a New Year corporate party?

Ideally in November, because venues fill quickly in the last two weeks of December. We also take briefs in December: the equipment is in our own warehouse, so the technical side does not depend on a rental queue. Within one working day of your brief we tell you whether the date is realistic.

How large a New Year event can you run?

From a small team dinner to events with hundreds of guests. The MPAY year-end evening hosted around 400 guests, and our largest corporate programme had more than 1,000 participants. As numbers grow, registration, seating and the sound system change, and we calculate those in the drawing.

What drives the cost of a New Year corporate party?

The number of guests, the venue, the menu, the entertainment and the scale of the technical build. We price it line by line: venue, technical production, catering, programme and crew each appear separately. Because the equipment is ours, there is no middleman margin on the technical side.

How do you handle entertainment?

The host, music and show acts are one block of the programme. We place their timing in the script and their technical needs in the drawing: microphones, mixing desk, stage size and lighting changes. The choice of performers is agreed with the client.

Do you run New Year events for universities and public bodies?

Yes. For UNEC we organised a New Year event that brought students, faculty and guests together: programme, venue, technical build and the running of the evening sat with one team. Our clients include 15 government and international institutions.

Can we order only staging, lighting and sound?

Yes. If your own team or the restaurant runs the event, you can order staging, LED screens, lighting, sound and operators separately. We assign one technical lead who works directly with your coordinator.

Let's discuss your event

A brief can be one paragraph: what the event is, the date, the number of guests and which part you need from us. We reply within one working day with a technical plan and a budget.
